As part of the larger initiative, she worked in a sub-project to launch a modernized intranet homepage. “We revamped the landing page to have linkage to all important applications, latest company news and serve as one stop for the users”, she mentioned. This helped the employees access some of the most important tools, information and updates with much ease and thus enhancing their productivity. This increased employee engagement by fostering better connectivity and keeping teams well-informed.

Teams used it for project updates, documentation, and discussions in dedicated project channels, which helped with project management. Employees also used the platform to share their general knowledge and for networking purposes, which helped create a sense of belonging and ultimately helped increase employee satisfaction. Initially, the role of intranet platforms was not fully recognized, but it became clear over time that they are essential not only for sharing company information but also for fostering the company’s spirit.

Sharing the challenges in the process, Peddisetty mentioned, “One issue was the maintenance of the content, as a lot of content used to be outdated, and not archived. We enabled a notify capability for users to pass their feedback directly to the admins”. Another challenge was that a lot of information was available on the site, and it was hard for the employees to find the most appropriate or latest one. To overcome this, Peddisetty emphasizes the importance of a robust search system to navigate the vast amount of content on the intranet platforms. She noted that “improving search functionality would not only enhance user experience but also increase retention and usage of the tool. With the increase in the usage of the platform, her team recognized the importance of establishing guidelines and examples for users to make it easy to use the tool. Auto-flagging capability was also incorporated to maintain an ethical culture by notifying administrators when inappropriate language was used.

Looking ahead, experts like Namratha Peddisetty see intranet platforms evolving with new technologies. For instance, using AI will ensure that some activities such as content archiving are automated, hence, ensuring up to date information is available. She says, “As organizations continue to use intranet platforms for internal communication, issues like user participation through accessible and modern UI/UX, content moderation, and maintaining ethical standards will remain key in their design”. With a growing focus on improving collaboration and knowledge sharing, the future will bring even more ways for intranet platforms to boost work productivity.
